PDF to Excel: Check Merged Cells and Leading Zeros

PDF to Excel finds tables and writes them into cells, but it has to infer the grid from a page that only knows where text sits. The mode and the post-import check decide whether you get data or a tidy-looking picture of data.

Why this comes up

Statements, invoices and reports arrive as PDFs because the sender wanted a fixed page, not because the numbers stopped mattering. Rebuilding them as cells is routine, and small import errors are easy to miss once formulas start running.

Check before you run it

  • Match the mode to the job. Optimised for tables reconstructs rows and columns for sorting and calculation. Keep style and layout follows the visual page; automatic chooses per page. Use tables mode for a spreadsheet.
  • Decide one sheet or separate tables. All tables in a single spreadsheet is convenient for a working file but stacks repeated headers. Leaving it off keeps each table separate and traceable to its page.
  • Verify the values Excel likes to change. Compare the first and last row with the PDF, then check totals, dates and account numbers with leading zeros. Set those columns as text before you add formulas.

When to reach for it

  • You need to reconcile a statement or invoice. Export the table, compare the closing balance with the PDF, then work in the sheet rather than retyping figures.
  • A published table needs re-analysis. Once the cells are verified, you can sort, chart or join them to other data without touching the source document.

One question we get

Excel or CSV — which should I pick?

CSV when one table goes into another system; Excel (.xlsx) when the sheet should open ready to use with its structure intact.

Where it fits

The tools people usually open next to PDF to Excel:

  • PDF to Text — Extract text from PDF. Copies all text from the PDF document and extracts it to a separate text file
  • PDF to Word — Convert from PDF to DOCX online
  • PDF to JPG — Get PDF pages converted to JPG, PNG or TIFF images.

Every tool works on a copy, so the original file is never touched. Uploads are stored under an unguessable id and deleted automatically two hours after you last open them; nothing is listed, shared or indexed. More on the security page.
