Build a Fillable PDF Form People Can Tab Through

A fillable form is a page with fields on top. The page still has to read like the printed original, and the fields have to behave the way a person filling them expects.

Why this comes up

Forms are filled by people who did not design them. A field that is slightly off its printed box, or a tab order that jumps around the page, turns a simple form into a support ticket.

Check before you run it

  • Place fields over the space the paper leaves. A field that overlaps a border or sits above its label looks broken even when it accepts text. Use the printed box, not the nearest empty area.
  • Name fields for the answer, not the position. applicant_name and invoice_total survive export and re-use better than field_1. Duplicate a field rather than redrawing it so the size matches.
  • Test with the Tab key. Tab through the empty form in reading order. If the cursor jumps to the bottom of the page, fix the tab order before sending.

When to reach for it

  • A vendor sends a flat PDF that should have been a form. Add the fields yourself and send the fillable copy back, rather than asking them to rebuild it.
  • A completed form is about to be archived. Flatten the filled copy so the answers stay visible and can no longer be changed.

One question we get

Will the form fields work in every reader?

They're standard AcroForm fields — text boxes, multiline, radio, checkbox, dropdown and signature — so they fill correctly in Acrobat, browsers and most PDF viewers, including Fill & Sign here.

Where it fits

The tools people usually open next to Create Forms:

  • E-Sign — Send a PDF for signature, collect signatures in order, and download the sealed copy with a completion certificate.
  • Edit PDF — Fill & sign PDF. Add text, links, images and shapes. Annotate.
  • Fill & Sign — Add your signature to a PDF. Fill out PDF forms.

Every tool works on a copy, so the original file is never touched. Uploads are stored under an unguessable id and deleted automatically two hours after you last open them; nothing is listed, shared or indexed. More on the security page.
